Cancellation Policy

  • Methods for Cancellation

      • Note:
        • Cancelations by phone must be done during office hours.
        • Office hours are 1 P.M. to 9 P.M.
        • Calling outside of office hours may result in a failure of cancellation, which will incur additional charges. 

  • Booking Fee

    • Any cancellation will forfeit booking fee.

  • Cancellation Procedure

    • To avoid incurring additional charges, Cancellation request must:
      1. Indicate the date(s) of the reservation you would like to cancel.
      2. Indicate all sites requested to cancel. (e.g. horse pens or additional sites.)
      3. Be made by the individual who made the reservation.
      4. Qualify for cancellation as indicated below: 
        • For holidays or special events:
          • Cancellation request must be received by 1 P.M. seven days prior to the first day of the reservation.
        • For all other dates:
          • Cancellation request must be received by 1 P.M. two days prior to the first day of the reservation.
    • Note:
      • If reservation is cancelled successfully, you will receive a confirmation letter via email.
      • Reservations that do not qualify for cancellation as indicated above will not be cancelled.

  • “No show”

    • Orman Ranch considers a “No Show” to be:
      1. Failure to check-in on the first day of the reservation.
      2. The party responsible for the reservation has failed to notify our office that they will be arriving late.
        • Note: In the event of late arrival, the entire reservation cost will still be charged.
      3. The responsible party has not successfully followed the cancellation process as listed in the cancellation procedure section.
    • In the event of a “No show”:
      • A campsite will be held for your arrival until 12 P.M. the day following the check-in date of the Reservation.
        • Note: After the arrival window has lapsed, the site will be made available to other guests.
      • A charge will be incurred for the entirety of the reservation as is specified on the reservation confirmation letter. The resulting charge will be debited from the card used to secure the reservation.
        • Note: In the event that the charge is declined, the responsible party will not be permitted to make any further reservations until this charge is reconciled.
      • Individuals that have incurred two “No Show” records will no longer be allowed to make reservations.
        • These individuals will be allowed to stay as walk-in guests only.

  • Changes to Reservations

    • Increasing or decreasing number of days of a reservation may be done depending on availability.
    • Rescheduling a reservation will be treated as a cancellation and new booking.
      • This will forfeit the original booking fee and incur a new booking fee charge.
    • Early check-in (before 1 P.M. check-in time)
      • The night prior to check-in must be reserved and paid for.
        • Note: Please communicate these special arrangements with the office to avoid possible situations that could result in a “no show.”
    • Early check-out
      • No refunds will be issued for checking out before the end of the reservation.
